Terms of Service
Last updated: 27 March 2026
1. Service description
PlanPost (“the Service”) is a trading name of Solid Digital Marketing Ltd, registered in England and Wales. Company No. 09888926. VAT No. GB890341131. Registered office: Suite 33 Peel House, 30 The Downs, Altrincham, United Kingdom, WA14 2PX.
PlanPost is a subscription-based lead generation platform for UK builders and tradespeople. The Service monitors publicly available planning applications from local planning authorities, matches them to subscriber preferences (location, radius, and project categories), and prints and posts personalised letters to homeowners on behalf of subscribers.
The Service also provides a lead tracking dashboard, letter template management, and reporting tools.
2. Eligibility
To use PlanPost, you must be at least 18 years old, a UK resident or operating a UK-registered business, and capable of entering into a legally binding agreement. By registering, you confirm that you meet these requirements.
3. Accounts
You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. You must provide accurate and complete information during registration and keep your details up to date.
We reserve the right to suspend or terminate accounts that contain inaccurate information, violate these terms, or are used fraudulently.
4. Payment, credits, and billing
Subscription plans: PlanPost offers tiered monthly subscription plans. Each plan includes a set number of letter credits per billing period. One credit equals one letter. Unused credits do not roll over to the next billing period unless otherwise stated.
Extra letters: If enabled, letters beyond your plan allowance are billed at the per-letter rate shown on your plan. You may set a monthly cap to limit additional charges.
Payment: All payments are processed by Stripe. Prices are shown exclusive of VAT, with VAT-inclusive amounts displayed alongside. VAT at 20% is added to all charges. Subscriptions renew automatically at the end of each billing period unless cancelled.
Cancellation: You may cancel your subscription at any time from your dashboard. Cancellation takes effect at the end of the current billing period. No refunds are given for partial periods, except within the first 14 days of your initial subscription (see section 10).
5. Letters and delivery
Letters are printed and posted by our third-party printing partner, Stannp. While we make every effort to ensure timely delivery, we cannot guarantee specific delivery dates as this depends on Royal Mail. We are not responsible for letters lost, delayed, or damaged in the postal system.
Letter credits are consumed when a letter is dispatched for printing. Credits are not refunded for letters that are delivered but do not generate a response from the homeowner.
6. Intellectual property
The PlanPost platform, including its software, design, branding, and documentation, is owned by PlanPost. You may not copy, modify, distribute, or reverse-engineer any part of the Service.
You retain ownership of your business content (logos, letterheads, custom letter copy). By uploading content to PlanPost, you grant us a licence to use it solely for the purpose of delivering the Service.
7. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose
- Send letters containing misleading, defamatory, or offensive content
- Impersonate another business or individual in your letters
- Attempt to access other users' accounts or data
- Scrape, crawl, or otherwise extract data from the Service beyond its intended use
- Resell or redistribute the Service or its data
- Use the Service to send unsolicited commercial communications unrelated to planning applications
We reserve the right to review letter content and suspend accounts that violate this policy.
8. Limitation of liability
The Service is provided “as is” and “as available”. To the fullest extent permitted by law:
- We do not guarantee that letters will result in enquiries, quotes, or jobs. Lead generation results depend on many factors outside our control.
- We are not liable for the accuracy or completeness of planning application data sourced from local authorities.
- Our total liability to you in any 12-month period shall not exceed the total fees you paid to PlanPost during that period.
- We are not liable for indirect, incidental, special, or consequential damages, including loss of profits or business opportunities.
Nothing in these terms excludes our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.
9. Termination
We may suspend or terminate your account immediately if you breach these terms, engage in fraudulent activity, or fail to pay outstanding charges.
Upon termination, your access to the Service will cease. Your data will be retained for 30 days (grace period) and then anonymised in accordance with our Privacy Policy.
10. Cooling-off period
If you are a consumer subscriber, you have 14 days from the date of your first subscription payment to cancel for a full refund, provided that no letters have been dispatched. If letters have been dispatched during this period, a proportional deduction will be made for the credits consumed.
11. Changes to these terms
We may update these terms from time to time. Material changes will be notified by email at least 14 days in advance. Continued use of the Service after the effective date constitutes acceptance of the updated terms.
12. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
